How to use the quotation and estimate maker
Set up the document
Give the quotation a number such as QUO-0001 and set the Valid until date. The date is what turns a casual price into a time-limited offer, so choose it deliberately. Select the currency, upload a logo if you have one, and fill in your details and those of the person you are quoting for.
Describe the work in lines
Break the job into lines the client can understand and compare. Short, specific descriptions work best: "Homepage design, 3 rounds of revisions" is better than "Design". Use the quantity for hours, days, units or pages and the price for the rate. Decimals are fine.
Some habits that win work:
- Show optional extras as separate lines so the client can see what is core and what is not.
- Put the largest cost first, then smaller items.
- Avoid a single lump sum for complex work; itemised quotes feel safer.
Tax, discounts and extras
Pick No tax, One rate or Per line, and rename the label to GST, VAT or Sales tax. Tick "Prices already include tax" if your price list is tax-inclusive. A discount can be a percentage or a fixed amount and is applied before tax. Use the shipping field for delivery, travel or any flat charge.
Terms matter
The terms box is prefilled with a validity statement. Replace it with what fits your business. Good quotations mention the deposit, how and when you invoice, what is excluded, how changes are priced and how long the quote remains valid.
Download and send
Choose a template, pick an accent colour and press Download PDF. The file name uses the quotation number. Send the PDF by email and ask for written acceptance, even a one-line reply, so you have a record. When the client accepts, create an invoice from the same lines.
Frequently asked questions
What is the difference between a quotation and an estimate?
A quotation is a fixed price you commit to for a defined scope until a stated date. An estimate is your best guess and may change. If you want the document to be binding, say so in the terms; if not, add a line that the figures are approximate.
How long should a quotation be valid?
Fourteen to thirty days is common. Shorten it when your costs move quickly, such as materials or exchange rates. The "Valid until" date prints near the top of the PDF so the client cannot miss it.
Can I turn the quotation into an invoice?
Copy the line items into the Invoice Generator on this site. Keep the quotation number as the reference so the client can match the two documents.
Is anything uploaded or stored on your server?
No. The PDF is built in your browser, and your draft is kept only in your browser storage. We cannot see it.
Can I add my own terms?
Yes. The terms box is free text and prints at the bottom of the quote. Typical items are deposit, payment schedule, what counts as a change request and who owns the finished work.
