How to use the purchase order generator

Raise a purchase order in a few minutes

A clear purchase order avoids disputes about price, quantity and delivery. Fill in the form and the PDF is built on your device, so supplier names and prices never leave your browser.

Fill in the document

  1. Set the PO number, the order date and the delivery date you expect.
  2. Enter your company as the Buyer and the supplier as the Vendor. Add a ship-to address when goods go to a warehouse or a site.
  3. Add line items with description, quantity and unit price. Choose no tax, one rate or a rate per line, and say whether prices already include tax.
  4. Add a discount, shipping or handling charge if agreed.
  5. Write the payment terms (for example Net 30) and any delivery conditions in the terms box.

Choose how it looks

Pick the Modern, Classic or Minimal template, set your accent colour and add your logo. The PDF has a vendor acceptance line next to the authorised-by line, so the supplier can sign and return it.

Good practice

  • Quote the PO number on the vendor invoice and the delivery note so the three documents match.
  • Keep descriptions specific: model, size, colour or SKU.
  • State the currency clearly; amounts print with the ISO code, for example USD 1,250.00.
  • Confirm lead time and delivery address before sending.

Privacy and limits

Your draft saves in this browser automatically and nothing is uploaded. PDF text supports Latin characters only. For a document that needs a legal review, treat this output as a starting point.

Frequently asked questions

What is a purchase order?

A purchase order (PO) is a document a buyer sends to a vendor to request goods or services at agreed prices and quantities. Once the vendor accepts it, it becomes a record of the agreement and is matched against the delivery and the vendor invoice.

What should a purchase order include?

A unique PO number, date, buyer and vendor details, a description with quantity and unit price for each item, tax, the delivery address and date, payment terms and an authorised signature. This tool covers all of them.

How do I number purchase orders?

Use a simple running number with a prefix, such as PO-0001. The Next number button adds one and keeps the same number of digits so your list sorts correctly.

Is the PO legally binding?

A PO usually forms a contract once the vendor accepts it, in writing or by shipping the goods. Add your terms in the Terms box and have the vendor sign the acceptance line. For large orders get a lawyer to check your standard terms.

Is my data uploaded?

No. The PDF is built in your browser and your draft is saved only in this browser. Clear it any time with New document.
