How to use the proforma invoice and credit note generator

Two documents, one simple tool

Switch between a proforma invoice and a credit note at the top. Each keeps its own saved draft in your browser.

Proforma invoice

Use a proforma when a buyer needs a price document before you ship: for advance payment, a bank transfer approval, an import licence or customs.

  1. Enter the seller and buyer details, the proforma number and a valid until date.
  2. Add line items, tax and any discount or shipping charge.
  3. Fill in payment terms, optional Incoterms such as FOB or DAP, and your bank details.
  4. Download the PDF. The default terms line states that it is not a tax invoice; edit it if your rules differ.

Credit note

Use a credit note to reduce what a customer owes without editing the original invoice.

  1. Type the original invoice number and choose a reason, for example goods returned or pricing error.
  2. List only the items or amounts being credited, with the same tax as the invoice.
  3. Add refund details if you will pay the money back instead of offsetting it on the next invoice.

Tips

  • Keep numbers in sequence. Use Next number after each document.
  • Do not delete a sent invoice; issue a credit note and a new invoice instead.
  • Amounts print with the ISO currency code, for example EUR 480.00.

Limits

PDF text supports Latin characters. Tax rules for credit notes differ by country, so check local requirements before you rely on the output for filing.

Frequently asked questions

What is a proforma invoice?

A proforma invoice is a preliminary bill sent before goods or services are delivered. Buyers use it to arrange payment, apply for import licences or clear customs. It is not a demand for payment under tax law and is not a tax invoice.

What is a credit note?

A credit note reduces the amount a customer owes, for example after a return, a pricing error or a discount agreed later. It refers to the original invoice and states the reason for the credit.

Do credit notes need to reference the original invoice?

Almost always, yes. Many tax systems require the original invoice number and date. Enter it in the "Original invoice number" box so it prints in the header.

Can I add tax and discounts?

Yes. Use one rate, a rate per line, or none, and add a percentage or fixed discount. A credit note should mirror the tax of the lines being credited.

Where is my data stored?

Only in your browser. The PDF is created on your device and nothing is uploaded. Each document type keeps its own draft.
