How to use the offer, experience and relieving letter generator

Three HR letters from one form

Pick Offer letter, Experience letter or Relieving letter and fill in the fields. The preview on the right updates as you type, and the PDF uses your logo and accent colour.

Offer letter

  1. Enter your company details and the candidate's name and job title.
  2. Set the start date, salary (per year or per month), probation and notice period, reporting manager and work location.
  3. List the benefits, one per line.
  4. Choose an accept by date. The PDF ends with a company signature and a candidate acceptance line.

Experience letter

Enter the joining date and last day, and the tool writes the tenure in years and months. Add responsibilities, choose a pronoun and decide whether to include a conduct statement.

Relieving letter

Add the resignation date and the last working day. The letter confirms acceptance of the resignation and that handover and dues are complete, subject to final settlement.

Tips

  • Anything still in [square brackets] is missing information; fill it in before sending.
  • Use the same company name and address as on your registration documents.
  • Keep a signed copy in the employee file.
  • Review the wording with HR or a lawyer if you have a union, a probation law or a non-compete.

Wording that works

Keep an offer letter factual: pay, title, dates and conditions. Anything you promise in writing can be relied on later, so avoid vague promises about bonuses or promotions. In experience letters, stick to verifiable facts such as dates, role and duties, and use the conduct line only when it is true. A relieving letter should say clearly that the resignation was accepted and from which date the person is released.

Before you send

Read the preview once as the candidate would: check the spelling of the name, the job title, the currency and the dates. Save the PDF under a clear file name such as the employee name and letter type, and keep the editable draft in this browser until the letter is signed and filed.

Privacy and limits

Your draft stays in this browser and nothing is uploaded. PDF text supports Latin characters only. These letters are general templates and not legal advice.

Frequently asked questions

What should an offer letter contain?

The job title, start date, pay, work location, reporting line, probation and notice periods, benefits, and a date by which the candidate should accept. The generated letter includes each of these and ends with an acceptance signature line.

What is an experience letter?

An experience letter confirms that a person worked for your company, in which role and for how long. This tool works out the tenure from the joining and last dates and adds an optional conduct line and list of responsibilities.

What is a relieving letter?

A relieving letter confirms that a resignation was accepted and that the employee is released from duty from a given date. New employers often ask for it before onboarding.

Can I add my logo and letterhead?

Yes. Upload a logo and enter the address, email and phone. They print at the top of the PDF with an accent line in your colour.

Are these letters legally checked?

No. They are general templates. Employment law differs by country and state, so have a professional review your standard wording. Nothing you type is uploaded.
