Meeting cost
Cost per hour is salary plus overhead. Use a loaded rate, often 1.3 to 1.5 times the pay.
How to use the meeting planner and cost calculator
Schedule across time zones without the guesswork
Setting up a call between New York, London and Mumbai usually means mental arithmetic and a few awkward emails. This planner lays the day out on one grid so you can see the answer.
Plan the time
- Pick the date in your first (base) city.
- Set the working day start and end hours. The default is 9 to 18.
- Add up to six cities from the list, or type any time zone name.
- Read the grid: each column is an hour of the base city's day, and each row shows what the clock says in another city.
Colours help you decide fast:
- Green is inside working hours.
- Amber is up to two hours outside, an early start or a late finish.
- Grey is out of hours.
The tool lists the hours when everyone is in working hours. When there are none, it highlights the best compromise. Tap any column to see every city's local time and date, then copy it to paste into an invite. A small "+1d" or "-1d" tells you when the date differs.
Know what the meeting costs
The cost calculator turns a meeting into money. Add groups of attendees with a headcount and a loaded cost per hour, set the length and how often it repeats, and see the cost per meeting, per month and per year.
Make better meetings
- If a recurring meeting costs more than the value it creates, shorten it or send an update instead.
- Rotate unfriendly times among teams so one office does not always take the late slot.
- Share the agenda ahead of the call so the time is used well.
Dates and costs are estimates. Always confirm the time in the invite.
Frequently asked questions
How does the overlap grid work?
It lists the 24 hours of the day for your first city and shows the local time in every other city at that moment. Green cells are inside working hours, amber cells are within two hours of the edge and grey cells are outside.
Does it handle daylight saving?
Yes. The offsets are taken from the browser time zone database for the exact date you choose, so a date after a clock change gives the right result.
Can I add a city that is not listed?
Yes. Type any IANA time zone name such as Europe/Paris or America/Bogota in the zone box and press add. You can compare up to six places.
How is the meeting cost worked out?
For each group, people x hourly cost x meeting hours. The total is multiplied by how often the meeting happens to give monthly and yearly costs.
What hourly cost should I use?
Use the loaded cost: salary plus benefits and overhead, divided by working hours. A common rule is about 1.3 to 1.5 times the pay rate.
