How to use the invoice and quote templates
Three ways to use the pack
- In the browser. Open invoice.html or quote.html, click any text and type. Quantities and prices update the line totals, subtotal, discount, tax and grand total as you go.
- As a PDF. Press Print or save PDF and choose Save as PDF. The toolbar disappears and the page is set to A4 with sensible margins.
- In Word. Open the DOCX files in Word, Pages, Google Docs or LibreOffice when you prefer a document you can email and edit.
Fill in an invoice
Start with the top-right box: invoice number, date and due date. Use a sequential numbering system, such as INV-0001, so you never reuse a number. Enter your company and the client's details, then list each line with a quantity and price. Set the tax rate and any discount, then check the total. Add your bank details or payment link under the payment section and a short note on late fees.
Fill in a quote
A quote is a price offer, so the document asks for a validity date and terms instead of payment details. Describe the work in plain words, include what is not covered, and ask for acceptance with a signature line. When the client accepts, turn the quote into an invoice by copying the lines across.
Customise the design
Colours are variables at the top of assets/doc.css, and the layout is simple HTML you can edit directly. To add a logo, put an img tag before the title. To change the default tax rate, edit the value on the tax input in the HTML.
Keep records
Save every PDF with a clear name, such as client-and-invoice-number. Store copies for the period your tax rules require.

Frequently asked questions
Can I fill it in and save it?
You can type in the browser and print or save the page as a PDF. Browsers do not write typed values back into the HTML file, so keep the PDF. For saved drafts and a logo, use the free Invoice Generator on this site.
Do the DOCX files calculate totals?
They are clean layouts with sample amounts. Edit the numbers by hand, or add a table formula in Word. The HTML versions calculate automatically.
Is it legally valid as a tax invoice?
Requirements differ by country. Add the legal details your authority requires, such as tax numbers and sequential invoice numbers. Check with an accountant if you are unsure.
How do I change the currency?
Type the symbol into the Currency field on the page, or set the data-currency attribute on the html tag so it is your default.
