How to use the inventory and stock sheet

A stock sheet that keeps its own history

Most small shops, workshops and online sellers start with a spreadsheet and then lose track of why a number changed. This sheet keeps the same simple table, but every change goes through a movement log with a date and a reason, so the quantity on hand is always explained.

Getting started

  1. Look at the sample to see how items, locations and reorder levels fit together, then choose Reset to sample or New empty sheet on the Import and export tab when you are ready for your own data.
  2. Add items with the Add item button. Give each one a SKU, a category, a location, a quantity, a reorder level, a unit cost and a sell price.
  3. Record movements. On the Movements tab choose an item, stock in or out, a quantity, a date and a reason such as supplier delivery or damaged. The quantity updates and the entry is logged.
  4. Watch low stock. Rows turn amber when an item reaches its reorder level and red when it runs out. Tick the filter to see only those items, and see a suggested reorder list on the Valuation tab.

Using a barcode scanner

Click the barcode field at the top, then scan or type a code and press Enter. If the SKU matches an item you see its quantity with +1, +5, -1 and -5 buttons; if it does not, you can create a new item with that code in one click. The field keeps focus so you can scan the next item straight away.

Valuation and reporting

The Valuation tab shows the cost value and retail value of everything on the shelf, split by category, plus the potential margin. Export items and movements as CSV for your accountant, or download a PDF stock sheet to print for a stock take.

Tips for accurate stock

  • Count a shelf, then use Set quantity so the correction is logged as an adjustment.
  • Keep SKUs short and unique. They are what the scanner and the CSV import match on.
  • Record deliveries the day they arrive, not at the end of the month.
  • Take a JSON backup before a big CSV import.

When a sheet is not enough

For several warehouses, purchase orders, supplier portals and sales channel sync, DEV3 can build an inventory system around your workflow.

Frequently asked questions

Where is my stock data kept?

Only in this browser on your device. Nothing is uploaded and there is no account. Clearing site data would remove it, so download the JSON backup now and then.

Does it work with a USB barcode scanner?

Yes. Click the barcode field and scan. Most USB scanners type the code and press Enter, which looks the SKU up. If the item exists you get quick plus and minus buttons; if not, you can create it with that SKU.

How is low stock decided?

An item is low when its quantity is at or below its reorder level, and out of stock at zero. Set the reorder level to 0 to turn the low warning off for an item. Use the filter to list only low and out items.

Can I stop stock going negative?

Yes, it is enforced. A removal larger than the quantity on hand is refused with a message, so the movement log always adds up to the current quantity.

What does the CSV import do with existing SKUs?

Rows are matched to items by SKU. A known SKU updates that item and logs any quantity change as an adjustment. Unknown SKUs become new items with their quantity recorded as opening stock.

How many items can I keep?

Up to 3,000 items and 10,000 logged movements. Export the movement log and start fresh if you reach the limit.
