How to install it

  1. Gmail: Settings, See all settings, Signature, create new, click in the box and paste (Ctrl/Cmd+V) after using Copy signature.
  2. Outlook: File, Options, Mail, Signatures, new, paste into the editor. In new Outlook, use Settings, Mail, Compose and reply.
  3. Apple Mail or others that accept HTML: use Copy HTML and paste into the HTML signature source.

Images must be hosted on a public https URL. Some clients block images until the recipient allows them, so keep your name and contact details as text.

How to use the email signature generator

Build a signature that survives every inbox

A signature is seen thousands of times, so it should be short, readable and consistent across devices. This generator produces HTML written the way email clients expect: tables for layout, inline styles and web-safe fonts.

Choose a template

  • Classic: logo on the left, details on the right, with a thin accent line under your title.
  • Modern bar: an accent-coloured vertical bar separates the logo from your details.
  • Compact line: everything on one or two lines, good for people who send many short replies.
  • Centered: logo above, details centred beneath. Works well for brand-led teams.

Fill in the details

Enter your name, title, company, phone, email and website. Only filled fields appear, so there are no blank labels. Add the profile links you actually use; they are shown as small text links, which is more reliable than icon images. Pick an accent colour that matches your brand and keeps enough contrast against white.

Add a logo

Paste a public https URL to a PNG or JPG, then set the display width, usually between 80 and 140 pixels. A square or wide logo both work.

Install it

  1. Press Copy signature, which puts rich formatted content on your clipboard.
  2. In Gmail, open Settings, then Signature, create one and paste. In Outlook, open Signatures in Mail options and paste into the editor.
  3. Send a test to yourself and check it on your phone and in a dark-mode client.

If pasting does not keep formatting in your client, use Copy HTML and paste the markup into its HTML signature field.

Keep it professional

Limit the signature to about six lines. Skip quotes and large banners. Add a legal footer only if your organisation requires one, and keep it small and grey.

Frequently asked questions

Why do signatures use tables and inline styles?

Email clients such as Outlook render HTML with an old engine that ignores most modern CSS. Tables for layout and inline styles for every property are the only approach that looks the same across Gmail, Outlook and Apple Mail.

How do I add my logo?

Upload it to your website or an image host and paste its public https URL. Email clients load images from that address when the message is opened. Use a PNG or JPG about twice the display size for sharp screens.

Why does my logo show as a blank box for some people?

Many clients block remote images until the recipient allows them. Keep your name, role and contact details as text, and give the logo a clear alt text, which this tool sets from your company name.

Does it work on mobile?

Yes. The layouts are narrow single-row tables that stay readable on phones. Keep the signature short and avoid more than one logo.

Is my information uploaded?

No. The signature is built in your browser. Links are limited to http and https so a pasted value cannot add script code.
